Use these guides to understand what each workflow does, how to use it, when features unlock, and what senco records in the background. The product remains non-diagnostic throughout.

Getting started

Sign in, navigate the dashboard, use the public analyser, and find the main authenticated tools.

What to do first

Use the public analyser for non-persistent experimentation before saving any student data.

Sign in with a magic email link or password. New users can create a password account from the same auth page.

Open the dashboard tabs to choose Overview, Students, Workload, Escalation, or Imports without scrolling through every tool at once.

What happens in the background

Authenticated users are scoped to an organisation so students, reports, tasks, and audit records stay tenant-bound.

The Overview tab shows a guided example and role-specific suggestions without creating real student records.

senco keeps language non-diagnostic across report, escalation, review, and export workflows.

How the dashboard is organised

Overview contains the walkthrough, your role-specific workflow cards, and a public analyser shortcut.

Students contains profile creation, observation entry, student cards, and the incident-log import entry point.

Workload contains SENCO workload metrics and upcoming SEND review reminders.

Escalation contains escalation ownership, SLA, note, pathway, and acknowledgement workflows.

Imports contains incident spreadsheet upload plus a route into import history, row review, duplicate queues, and cohort summaries.

Why controls may be disabled

Some student phases stay locked until a profile has at least one finalised human-reviewed observation report.

Review-management areas are role-aware, so staff may contribute observations while SENCO, clinician, and owner roles manage review activity.

Locked student tabs include tooltips explaining whether the blocker is missing data or permissions.

Create a profile with display name, year group, and school stage. Profiles contain observations, reports, interventions, and review evidence.

Use descriptive observation text: what happened, context, triggers, frequency, impact, and any support already tried.

Human review before saving

Run extraction first, then review labels, categories, domains, evidence, and weights before finalising.

Removed or edited behaviours are stored in reviewer comparison data so calibration conversations can inspect what changed.

Finalised reports remain non-diagnostic and explain observed patterns, potential need areas, interventions, and escalation prompts.

Manage owners, due dates, notes, acknowledgement, SLA indicators, pathway packs, and audit trails.

Urgent safeguarding and SENCO-review outputs create task ownership, status, due-date, SLA, and acknowledgement records.

Owners can add notes, update due dates, generate pathway templates, complete checklist items, and export packs.

Escalation filters preserve the Escalation dashboard tab so teams can focus on open, acknowledged, resolved, and overdue tasks.

Background governance

Task changes write audit events and PostHog events for operational analysis.

Owner and pathway notifications use the shared branded email shell.

Escalation language remains workflow-focused and does not make diagnostic or clinical conclusions.

Use case notes, evidence, actions, communications, meeting packs, provision plans, and impact tracking.

What the workspace contains

Case notes capture professional discussion and classroom updates.

Evidence attachments store metadata, preview labels, downloads, and audit trail entries.

Actions track owners, due dates, reminders, completion, and review accountability.

Meeting packs include agenda items, decisions, provision-plan snapshots, non-diagnostic summaries, and follow-up review dates.

When to use it

Use the workspace after at least one observation report exists and the student needs coordinated school SEND review.

Use parent/carer summaries for strengths, support in place, and next steps without diagnostic wording.

Use provision impact records to compare planned support with observed impact over time.

Imports and audit

Review spreadsheet imports, duplicate queues, row correction, rollback, cohort dashboards, and export jobs.

Upload behaviour incident spreadsheets, confirm column mapping, preview validation, and inspect duplicates before committing rows.

Committed rows can be converted into student observations and reasoning reports using the same ontology-backed workflow.

Batch detail pages support row-level correction, duplicate override or skip, rollback, and reprocessing after ontology updates.

Audit and exports

Import outcomes can be reviewed by student and cohort for SENCO oversight.

Audit timelines combine notes, checklist completions, attachment activity, status changes, owner changes, and retention changes.

Saved audit exports run as background jobs with expiry and download controls for larger organisations.

Calibration governance

Capture feedback, review analytics, approve proposed scoring-weight changes, release versions, and run probes.

Signed-in users can use either magic email links or password login after adding a password.

Admin audit controls support filtering, saved exports, background export jobs, and retention health monitoring.

Safeguarding defaults should not be weakened when users opt into additional pathway notifications.

Stripe Checkout, Billing Portal, invoices, and payment status are synced through the cx-stripe-gateway billing webhook.

Downgrades keep paid features until the current period ends; past-due subscriptions keep a seven-day grace window.

Usage and limits

Starter includes one user, 25 student profiles, and 50 AI reasoning runs each month.

School unlocks team collaboration, incident imports, SEND review, pathway packs, audit exports, and 1,000 reasoning runs.

Trust unlocks calibration governance, unlimited seats and profiles, and 5,000 reasoning runs.

Sign in by magic link, password, passkey, or connected account; verify email, reset passwords, and manage sign-in methods.

Ways to sign in

Magic email link, email-and-password, passkeys (Touch ID, Face ID, Windows Hello, security keys), and Google, Microsoft, or Apple when configured.

Methods sit side by side on one account — adding a password never removes magic-link sign-in.

New password accounts must verify their email before the first password sign-in.

Managing your account

Reset a forgotten password from a single-use, one-hour link, with anti-enumeration messaging that never reveals who has an account.

Change your email with a confirmation sent to your current verified address first, protecting against session hijack.

Add or remove passwords, passkeys, and connected accounts from Account & security in Settings.
