Student Profiles and Observation Reasoning

Recording what you see, and building a picture over time.

Purpose

Use this workflow to create a student profile, record teacher observations, review extracted behaviours, and save non-diagnostic SEND reasoning reports.

Create a student profile

  1. Sign in and open /dashboard.
  2. Find the student profile form.
  3. Enter the student's display name.
  4. Enter the year group.
  5. Choose the school stage.
  6. Click the create/save button.
  7. A toast confirms the profile has been created.

Open a student profile

  1. From /dashboard, choose the student from the student list or summary area.
  2. Open /dashboard/students/[id].
  3. Start on the Overview tab.
  4. Review the process map to see whether the profile is ready for observation, report review, SEND review activity, or follow-up.
  5. Use locked-phase tooltips to understand why a tab is not active yet.
  6. Use the contextual Guide buttons when you need help for the current workflow.

Add an observation

  1. Open the dashboard reasoning composer or the Observation tab on a student profile.
  2. Choose the student record.
  3. Write the observation in natural teacher language.
  4. Keep the wording descriptive: what happened, where it happened, triggers, frequency, and impact.
  5. Choose the extraction provider if the option is available:
  • ONTOLOGY for deterministic ontology extraction.
  • LLM for the configured production extraction provider.
  1. Click the extraction/analyse button.

Review extracted behaviours before finalising

  1. Review each extracted behaviour signal.
  2. Check the label, category, domain, evidence text, and weight.
  3. Edit any behaviour that needs professional correction.
  4. Remove signals that are not supported by the observation.
  5. Add reviewer notes where useful.
  6. Finalise the report only after the extracted behaviours reflect the observation.

Read a reasoning report

Open Reports and trends from the student process tabs. The report history shows:

  1. Extracted behaviours.
  2. Domain scores.
  3. Potential need areas with confidence.
  4. Confidence explanations and scoring contributors.
  5. Evidence-informed interventions.
  6. Escalation level and recommended next action.
  7. Disclaimer confirming the report is non-diagnostic.

Save and audit

When saved against a student, the observation and reasoning report are persisted for future comparison, review, calibration feedback, audit trails, and escalation workflows.
