Audit Timeline, Exports, and Admin Monitoring

Purpose

The admin audit workflow provides a searchable timeline of workflow actions across escalation tasks, attachments, checklist completions, owner changes, retention changes, exports, and review activity.

Where to go

1. Sign in with a role that can manage review/admin workflows.
2. Open /dashboard/settings.
3. Find the admin audit timeline.

Filter the timeline

Use the filters to narrow by:

1. Search text.
2. Event type.
3. Risk level.
4. Date from.
5. Date to.
6. Page size.

Save export presets

1. Configure filters.
2. Enter a preset name.
3. Save the preset. The preset is the filters already on screen, so its chip appears immediately and is marked busy until it is stored; if the write is refused the chip goes again, the name stays in the box, and a message says why.
4. Reuse saved presets for recurring governance exports.

A retained export is different: the server builds and keeps the file, so nothing appears in the list until it exists. The button shows Creating export... while that happens.

Create background export jobs

1. Configure filters.
2. Enter export name.
3. Choose expiry period.
4. Create the export.
5. Download the export once ready.

Export history and expiry

Export jobs include:

1. Status.
2. File name.
3. Expiry.
4. Download count.
5. Last downloaded time.

Expired export content should not remain downloadable.

Scheduled jobs

senco runs two jobs every day for every school: Retention enforcement, which clears pack PDFs and audit exports once they pass their retention date, and Housekeeping, which clears old rate-limit records and removes the jobs' own run history once it is 90 days old. Each job's latest run and latest successful run are always kept, so its badge and Last run stay true however long ago it ran. You can check they are running.

1. Open /dashboard/settings and choose Activity & jobs.
2. Scroll past Workspace activity to Scheduled jobs.
3. Read each job's badge and when it last ran:

• Healthy — it ran and worked.
• Running — a run is under way now.
• Failed — the last run did not work. senco's team sees the reason and can run it again; nothing is needed from you. A pack past its retention date cannot be downloaded in the meantime.
• Stale — it has not worked for over two days.
• Never run — there is no run on record yet.
• Paused — senco's team has switched it off, with the date and who.

Each run covers every school at once, so what a run found — how many files it cleared across all schools — and the detail of any error stay with senco's team. There is nothing for a school to switch or run here.

Audit timeline contents

The timeline combines task notes, checklist completions, attachment views/downloads, export status changes, owner changes, retention changes, calibration events, and other organisation audit events.
