Plans, usage and changing what you're on.

What it does

Billing turns senco into a tiered product with plan limits, Stripe subscription management, and metered AI reasoning usage.

Where to find it

  1. Sign in as an organisation owner.
  2. Open /dashboard/settings?settingsTab=billing.
  3. Use Plan and billing to review the current plan, usage, and available upgrades.
  4. Visit /pricing to compare public plan limits.

Step by step

  1. Open Settings.
  2. Choose Billing.
  3. Review the current plan status and AI reasoning runs used this month.
  4. Switch between Monthly and Annual pricing.
  5. Choose a new plan.
  6. Complete Stripe Checkout if a paid plan is selected.
  7. Use Manage billing and invoices after subscribing to update card details or view invoices.

What each screen shows

  • Billing shows the current plan, subscription state, usage bar, plan picker, annual discount, and owner-only billing actions.
  • /pricing shows Starter, School, and Trust plans plus the comparison table.
  • Locked feature cards appear where a workflow needs a higher plan, such as incident imports, collaborative SEND review, audit exports, or calibration governance.
  • Settings → Activity & jobs → Workspace activity records every plan change: who asked for it (for example "Started checkout for School (annual)" or "Scheduled a move to Starter at the end of the billing period") and what Stripe then confirmed (for example "Plan changed from Starter to School (annual) (confirmed by Stripe)", shown against Stripe).

Tips

  • Starter is for safe pilots with one user, 25 student profiles, and 50 included AI reasoning runs.
  • School unlocks team seats, larger student capacity, incident imports, collaborative review, pathway packs, and audit exports.
  • Trust unlocks unlimited seats and profiles plus calibration governance.
  • Annual billing gives two months free compared with paying monthly.
  • Downgrades keep paid features until the current Stripe billing period ends.

Troubleshooting

  • If plan changes say billing is not configured, Stripe environment variables are not set in the current environment.
  • If a premium workflow shows an upgrade card, open Settings > Billing to choose a plan.
  • If payment is past due, the organisation keeps paid features during the seven-day grace period. After that, premium features pause until billing is restored.
  • Only the organisation owner can change the plan or open the billing portal.
  • If you chose a new plan but Workspace activity shows only the request and no "confirmed by Stripe" entry, Stripe has not confirmed the change yet. The plan updates when it does.
